By Ministerial Decree of May 8th, 1989 the consular resorts of the Embassy at New Delhi and the Consulate General at Mumbai have been appointed. Persons living or travelling in India can address the Embassy of The Netherlands in New Delhi or the Consulate General in Mumbai, depending on the resort jurisdiction.

REQUIREMENTS FOR A SCHENGEN VISA
Member countries:
Austria, Belgium, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Lithuania, Luxembourg, Malta, The Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain and Sweden.
ADDITIONAL INFORMATION
Indian nationals, travelling to any of the above mentioned countries on business, for tourism or other reasons, may apply for a Schengen visa for a stay of up to 90 days valid for all the above mentioned countries.
Visas for a period of longer than 90 days are called visas for temporary stay (MVV). The requirements for MVV visas are subject to the national law of the country of destination. Information regarding MVV visas can be obtained through the Immigration and Naturalisation Service in The Netherlands (
www.ind.nl).
- Applicants should obtain the visa at the Embassy or Consulate General of the Schengen country, which is the main destination (e.g. the country where the intended stay is longest) of their journey. If the main destination cannot be ascertained, the application should be made with the representation of the Schengen country which is entered first.
- In case the applicant wants to travel to a non-Schengen country after the stay in the Schengen territory, the visa for this onward destination should be applied for first.
- The purpose of a proposed visit may not be altered once the visa has been issued.
- No visa will be issued on additional pages of a passport.
- Minors (< 18 yrs) require a written consent of the parents containing the signatures of both parents. The application form should also contain signatures of both parents. A copy of the parents’ passports should be included.
- There is no legal right to a visa. A visa is not a guarantee to access to the Schengen territory. The final authorisation remains within the competence of the immigration officer at the border. It is advised to bring copies of invitation letters and proof of sufficient financial means, when travelling.
- In principle all applicants have to apply in person.
Exception to this rule is made for frequent travellers to the Schengen territory.
In general the outcome of the visa request will be given the next working day, but only if a complete file was presented. In case extra checking is required, the Embassy/ Consulate General has to forward the visa application to the competent authorities in The Netherlands for a final decision. In this case the decision is expected in 7 working days for business visa and up to 2 months for tourist visa.
BASIC DOCUMENTS
- A completed visa application form, duly signed by the applicant.
- One passport photo (size: 5x4cm; dimension from head top till chin should be minimum 26mm and maximum 30mm and ear to ear should be minimum 20mm and maximum 24mm).
- A passport valid for at least 3 months beyond the intended stay and with at least one blank page to affix the visa.
- A confirmed airline reservation.
BUSINESS VISA
Frequent travellers
Travellers who holds two Schengen visas or who holds one Schengen visa* and a valid U.S.A. visa (with validity of 10 years and more) and/ or U.K. visa (with validity of 5 years and more) or who holds one Schengen visa, not older than 3 years* are not required to apply in person. The above mentioned basic documents are the limited number of documents which should be submitted
If desired a frequent traveller can request a multiple entry visa for a longer period (maximum 2 years).
Non-frequent travellers
Travellers who have never travelled to Schengen before or who has travelled only once to Schengen, more than three years ago* are required to apply in person. The basic documents added with the following documents should be submitted:
A covering letter from the Indian organisation or company of the applicant, containing the following information:
- Name and designation of the applicant and that of the signatory (of managerial or executive level);
- An outline of the applicant’s itinerary, the purpose of his/her visits, names and addresses of the companies he /she intends to visit.
Evidence of source of financial support such as:
- Foreign exchange (endorsed in the passport);
- A copy of an international credit card.
- In case of applicant being the proprietor/owner of the business, documents related to the financial standing of the company may be required, for instance proof of paid income-tax, company memorandum, partnership deed, establishment licence or proprietorship, bank statements, etc.
An invitation letter from the Dutch company or organisation containing the following information:
- Name of the applicant invited;
- Dates of the intended stay;
- Purpose of the visit;
- Nature of costs being covered (board & lodging).
In case of first visit, business correspondence with the concerned Dutch company is required.
TOURIST VISA
Frequent travellers
Travellers who holds two Schengen visas or who holds one Schengen visa* and a valid U.S.A. (with validity of 10 years and more) and/ or U.K. visa (with validity of 5 years and more) or who holds one Schengen visa, not older than 3 years* are not required to apply in person. The basic documents added with the following documents should be submitted:
- A covering letter from the applicant, introducing himself/herself, explaining the purpose and duration of the visit and the itinerary for the corresponding period in brief.
- Evidence of source of financial support such as:
Foreign exchange (endorsed in the passport);
A copy of an international credit card.
- If the visit is sponsored by a guarantor/referent in The Netherlands, the guarantor/referent is required to provide the applicant with:
A copy of the passport (in case of a Dutch guarantor/referent) or a copy of the residence permit (in case of a non-Dutch guarantor/referent).
A sponsorship letter (not older than 6 months) issued or legalised by the municipality. The sponsorship letter would contain the following information: the applicant’s name, address, relationship with the guarantor/referent, duration of stay with the guarantor/referent and the nature of costs being sponsored.
Non-frequent travellers
Travellers who have never travelled to Schengen before or who has travelled only once to Schengen, more than three years ago* are required to apply in person. The basic documents added with the following documents should be submitted:
- Proof of employment and leave letter on company’s letterhead.
- A confirmed hotel reservation for the number of days of stay in Schengen countries.
- If the visit is sponsored by a guarantor/referent in The Netherlands, the guarantor/referent is required to provide the applicant with:
A copy of the passport (in case of a Dutch guarantor/referent) or a copy of the residence permit (in case of a non-Dutch guarantor/referent).
A sponsorship letter (not older than 6 months) issued or legalised by the municipality. The sponsorship letter would contain the following information: the applicant’s name, address, relationship with the guarantor/referent, duration of stay with the guarantor/referent and the nature of costs being sponsored.
Financial proof of the guarantor/referent, such as copy of salary slips of the last 3 months or bank statements of the last 3 months.
* For all kinds of visas mentioned above, to be ensured that they are well used i.e. not misused / overstayed.
TRANSIT VISA
A traveller who has a long transit period between connecting flights or has no immediate connecting flight is required to have a transit visa. Travellers who travel on a subject-to-load ticket are also required to obtain a transit visa. Personal appearance is required at time of application. The basic documents added with the following documents should be submitted:
- A valid visa for the country of destination.
- Evidence of source of financial support such as:
Foreign exchange (endorsed in the passport);
A copy of an international credit card. - A confirmed airline reservation and an onward journey ticket.
- A confirmed hotel reservation in case of an overnight stop.
TRANSIT VISAS FOR SEAMEN
Transit visas for seaman are issued for those intending to travel to join their ship. Personal appearance is required. The basic documents added with the following documents should be submitted:
- A covering letter from the Indian recruiting company mentioning the applicant’s name and rank, vessel’s name and arrival date at the port in The Netherlands, date of joining the vessel, the name and address of the handling agents in The Netherlands.
- A copy of the contract/appointment letter.
- A confirmation by letter/fax from the agent in The Netherlands.
Photocopies of all the filled out pages of all the CDCs (Continuous Discharge Certificate).
AIRPORT TRANSIT VISAS
An airport transit visa is not required for Indian passport holders. For other nationals who require an airport transit visa (an airport transit visa entitles the holder to enter the international transit area of the airport but not the territory of The Netherlands). The basic documents added with the following documents should be submitted:
- A valid visa for the country of destination (a photocopy of the visa should be attached).
- A confirmed ticket for the onward destination.
